Outlook Express and Windows Mail Backup

Outlook Express has been replaced by Windows Live Mail, an improved e‑mail program with enhancements such as junk e‑mail filtering and protection against phishing messages and it also has the ability to automatically configure itself to work with many popular e‑mail services.

Moving or Backing up Email Files

There are several approaches, naturally, but in a nutshell we'll locate the folders on the old machine, copy them to the new machine, and then import them. And then we'll do something similar for the address book. For those of you that have Blocked Senders set up or email rules in place, there is a procedure at the bottom of this article on how to backup and restore these settings as well.

Step 1: Copy message files to a backup folder

Step A: Locate the Store folder

Start Outlook Express.
Click Tools, and then click Options.
On the Maintenance tab, click Store Folder. In the Store Location dialog box, copy the store location.
Click Cancel, and then click Cancel again to close the dialog box.

Step B: Copy the contents of the Store folder

Click Start, click Run, paste into the search bar, and then click OK.
On the Edit menu, click Select All.
On the Edit menu, click Copy, and then close the window.

Step C: Create a backup folder

Right-click any empty area on your desktop, click New, and then click Folder.
Type Mail Backup for the folder name, and then press ENTER.

Step D: Paste the contents of the Store folder into the backup folder

Double-click the Mail Backup folder to open it.
Right-click inside the Mail Backup folder window, and then click Paste.

Step 2: Export the Address Book to a .csv file

Important: Make sure that you follow this step if you use multiple identities in Outlook Express.

Microsoft Outlook Express 5.x and Microsoft Outlook Express 6.0 use a Windows Address Book (.wab) file to store Address Book data. The individual data for each identity is stored in a folder by user name within the .wab file that is used.

The only way to separate the Address Book data for different identities is to export the data to a .csv file while you are logged in as a specific identity. If the .wab file becomes dissociated from the user identities, the data can be exported only as one total. In this case, the data cannot be exported folder by folder.

There is another reason to export the .wab file to a .csv file. If the .wab file not exported to a .csv file, but the .wab file is shared with Microsoft Outlook, the addresses are stored in the personal folders (.pst) file in Outlook. When you export the file to a .csv file by using the File menu in Outlook Express, the correct contacts are exported. However, if the Address Book is shared with Outlook, you cannot use the File menu option to export from the Address Book. This option is unavailable.

To export the Address Book to a .csv file, follow these steps:

On the File menu, click Export, and then click Address Book.
Click Text File (Comma Separated Values), and then click Export.
Click Browse.
Select the Mail Backup folder that you created.
In the File Name box, type address book backup, and then click Save.
Click Next.
Click to select the check boxes for the fields that you want to export, and then click Finish.
Click OK, and then click Close.

Step 3: Export the mail account to a file

On the Tools menu, click Accounts.
On the Mail tab, click the mail account that you want to export, and then click Export.
In the Save In box, select the Mail Backup folder, and then click Save.
Repeat these steps for each mail account that you want to export.
Click Close.

Step 4: Export the newsgroup account to a file

On the Tools menu, click Accounts.
On the News tab, click the news account that you want to export, and then click Export.
In the Save In box, select the Mail Backup folder, and then click Save.
Repeat these steps for each news account that you want to export.
Click Close.

Restoring Email Files

Note To restore items when you use multiple identities in Outlook Express, you may have to re-create the identities before you follow these steps. Repeat each step as needed for each identity.

Step 1: Import messages from the backup folder

On the File menu, point to Import, and then click Messages.
In the Select an e-mail program to import from box, click Microsoft Outlook Express 5 or Microsoft Outlook Express 6, and then click Next.
Click Import mail from an OE5 store directory or Import mail from an OE6 store directory, and then click OK.
Click Browse, and then click the Mail Backup folder.
Click OK, and then click Next.
Click All folders, click Next, and then click Finish.

Step 2: Import the Address Book file

On the File menu, click Import, and then click Other Address Book.
Click Text File (Comma Separated Values), and then click Import.
Click Browse.
Select the Mail Backup folder, click the address book backup.csv file, and then click Open.
Click Next, and then click Finish.
Click OK, and then click Close.

Step 3: Import the mail account file

On the Tools menu, click Accounts.
On the Mail tab, click Import.
In the Look In box, select the Mail Backup folder.
Click the mail account that you want to import, and then click Open.
Repeat these steps for each mail account that you want to import.
Click Close.

Step 4: Import the newsgroup account file

On the Tools menu, click Accounts.
On the News tab, click Import.
In the Look In box, select the Mail Backup folder.
Click the news account that you want to import, and then click Open.
Repeat these steps for each news account that you want to import.
Click Close.
Backing Up Blocked Senders List and Other Email Rules
The Blocked Senders List
Click Start, and then click Run.
In the Open box, type regedit, and then click OK.
Locate and click the following registry subkeys (save each key to a different file):
HKEY_CURRENT_USER\Identities\{Identity Number}\Software\Microsoft\Outlook Express\5.0\Block Senders
On the Registry menu, click Export Registry File.
In the Save In box, change the location to your desktop.
In the File Name box, type blocked senders.reg (for the Block Senders key), and then click Save.
Other Mail Rules
Click Start, and then click Run.
In the Open box, type regedit, and then click OK.
Locate and click the following registry subkeys (save each key to a different file):

HKEY_CURRENT_USER\Identities\{Identity Number}\Software\Microsoft\Outlook Express\5.0\Rules\Mail

On the Registry menu, click Export Registry File.
In the Save In box, change the location to your desktop.
In the File Name box, type mail rules.reg (for the mail rules key), and then click Save.
On the Registry menu, click Exit
How to Restore the Existing Blocked Senders List and Other Mail Rules to Function on the Newly Installed Operating System
Open Outlook Express on the new computer, and complete the Internet Connection Wizard to set up your Identity and account information. If you had multiple identities in the previous installation, complete these steps for each Identity. To do this:
Click Start, and then click Run.
In the Open box, type notepad.exe.
Click Open on the File menu, and then locate the Block Senders.reg file that you created.
In the second line of text, select the text after "HKEY_CURRENT_USER\Identity\" that includes the braces {}. On the Edit menu, click Copy to copy this text to the Microsoft Windows Clipboard.
On the Edit menu, click Replace. Click your pointer in the Find what box, and then click Paste on the Edit menu to paste the text into that box. Do not close the Notepad application until you are directed to do so later in this process.
Start Registry Editor on the new computer (as in step 1 of "The Blocked Senders List" section), and locate the HKEY_Current_User\Identities folder. Double-click the User ID key in the right pane, and then click the Value data.
Press CTRL+C to copy that value to the Windows Clipboard. Click Cancel to close the Edit String dialog box, and then close Registry Editor.
In Notepad, click your point in the Replace with box, and press CTRL+V to paste the text. Click Replace All to replace all instances of the text strings.
Scroll through the entire list to make sure that all registry keys have the new text string, rather than the old string. On the File menu, click Save, and then close Notepad.
Double-click the Block Senders.reg file, and then click Yes when you are prompted: "Are you sure you want to..." to import the Block Senders list to the registry for the new computer.
Follow steps 2 through 11 above on the mail rules.reg file to update that file with the new Identity information.

Should I Make the Switch to Windows 7?

Windows 7 has now been out for a couple of years and yet there are still people who are hesitant to upgrade to it. For the most part this is due to the horror movie we once called Windows Vista. After that Creature from the Black Lagoon came out many users are happy to stick with the true golden child I like to call Windows XP. But now more programs and hardware are coming out that are only Windows 7 compatible.

Right away I want to say “YES JUST UPGRADE. WINDOWS 7 IS AMAZING,” but at the end of the day the choice is completely up to and if you already haven’t upgraded based on what other people are saying my previous statement will not change your mind. So here is my “7 Reasons to upgrade to 7!”

7) The Taskbar – Many people are boasting the simplicity and the user friendliness of Macs. Mac users call the bar at the bottom “The Dock” and they say it makes it easy to use your everyday programs and keep clutter off the desktop. Well guess what, Windows 7 does the exact same thing. Now you can “Pin” your programs and applications to the task bar and open it with a single click. Looking for a recently opened document? No problem, just right click the “Pinned” program and a list of recently opened documents appears and allows you to choose from there.

6) The Start Menu – Nothing, for the most part, has changed here. Like XP and, dare we say Vista, You have the programs you used the most followed by an All Programs option to see what is installed. What they have added is a very handy feature I like to call the Search Bar. At the bottom if the Start Menu is a text box which you can type in the name of ANYTHING on your computer and it will search for it and allow you to open it. I use it all the time for simple things like Notepad or the calculator, but you can browse for that word document or excel sheet as well!

5) Aero – Sadly you cannot eat Windows 7, but Aero is the new graphic interface that it uses. It is much sleeker and eye catching. It allows for faster load time and uses less resources than the previous graphic interface in Vista and XP. If you already own Windows 7, do me a favour: hold down the Windows key and press tab at the same time. Don’t worry I’ll wait. Pretty neat eh? Want to change your desktop to a project or a second screen? No problem, press Windows + P, go to the option you want and press P again while holding the Windows Key and then hit enter.

4) Drivers – For the most part end users may not even know what this means. The simplest explanation is that drivers are how the Operating System talks to hardware. Microsoft has included a wide variety of drivers with Windows 7 and has created an online database to make the installation of hardware even easier.

3) Updates – No more opening up Internet Explorer going under the Tool tab and selecting Windows Updates. Windows 7 has made keeping your computers security and programs up to date. With the new Windows Update feature you can select which updates to install and see previous update installations. Just browse to the Control Panel and the last option is Windows Updates. Press that and you are there!

2) Enhanced Security - Instead of making you play watchdog and constantly clicking to approve program access, Windows 7 does away with the vast majority of Windows Vista's nagging pop-ups. Users can now control the relative amount of prompts regarding system security they receive using an intuitive slider bar control, with alert messages minimized to avoid becoming a nuisance. In addition, the Internet Explorer 8 web browser is better-guarded against external threats.

Extend Your Wireless Signal

So you have a wireless network, but you can’t seem to sit in the backyard and surf the internet, relocate the kids’ online computer gaming sessions downstairs, or move up into your elaborate office in the attic. All because you can hardly get a wireless signal in those outreach areas. Well fear no more! Here are some tips that you can do (from the basic to the advanced) to help get some boosted signal strength:

Basic tweaks:

1.) Relocate your current wireless router in your home. One thing to note is that putting the wireless router in a central location will provide you with a more balanced coverage (as opposed to the basement). Of course, you will ultimately be tied to where you can place, because of where your internet comes into your home.

2.) Wireless signal best operates in open airwaves and less through solid materials. If you remember back to your physics class, you’ll remember that the more solid materials (and types of materials) that your wireless signal has to go through, the weaker it’s going to get. So place your wireless router in a higher location where it won’t interfere or have objects in the way of its wireless signal.

3.) Other wireless interfering devices can affect the strength and quality of your wireless signal. Keep your router away from things like cordless phones, microwaves, florescent lights, and other wireless culprits.

4.) Over time, the older model may not be as good as a newer model router. Also, wireless signal standards and breakthroughs occur which allow for better wireless speeds and signal distance. These days, you can get into a decent, new entry-level wireless router for cheap.

5.) You can purchase a wireless signal range booster or extender. You don’t have to be a computer whiz to work one of these, because these days they make it so easy and straight forward. First you will usually go through a CD setup and then it will have you find a viable “sweet spot” location (usually about 50%-75% of the distance from your wireless router)

Technical tweaks:

1.) Choosing the right channel makes all the difference. Wireless signals in North America have 11 channels and only 3 of the 11 are non-overlapping channels (1, 6, and 11). When wireless routers first came out, they all defaulted to the middle channel, 6. Most products these days are smart enough to choose the least congested wireless channel during initial setup, but usually the router won’t scan again. Over time, other wireless routers in your area could have shown up and now that initial install channel that your router chose isn’t so ideal. Imagine 11 different rooms and everyone is chatting at once to get in their two cents. It’s going to get pretty noisy and very soon it’s going to be very difficult to understand another person. So what do you do so you can hear that other person? You leave to another quieter room. The same goes for wireless routers. Either have the router choose the least congested channel, or you can scan the airwaves yourself with some tools (netstumbler or inssider) and choose a channel that best suits your area. Usually a safe bet is channel 1 or 11.

2.) Update the firmware for your router. Newer software usually will come out with performance and signaling tweaks that can help give your old dog new tricks. If you really want to, you can flash your router with third-party firmware that will give you more control and granularity over the settings that you can tweak. Check with the third-party software developer to ensure your router is supported with their software. A good start is DD-WRT. You can search online for other third-party software that will meet your needs.

3.) The new N standard can operate at both 2.4GHz (20Hz) and 5GHz (40Hz). By far, 2.4GHz wireless signal goes much farther than 5GHz, because of the way the signal wavelength is (more physics anyone?). When N routers first came out, they were set to automatically select which frequency it would operate at. Nowadays they have defaulted back to 2.4GHz (or in most consumer routers it shows up as 20Hz).

4.) The wireless antenna or software driver/firmware that your laptop has will also make a difference on how well you pick up wireless signals. If you have an older laptop, it will be cheaper to just go buy a USB wireless stick. If you are about to buy a laptop, best to research it a bit. If you are really picky, choose a laptop with a better antenna diversity as some are better than others. For the most part, newer laptops have decent antennas so it’s not something to overly worry about for daily usages.

5.) Most routers ship with a standard omni-directional height antenna. The height and gain of the antenna also makes a difference. Check out your local electronics store and find a bigger antenna that will work for your router.

So those are just some of the many avenues you can explore to extend your wireless network range. Remember, the more you spend on the devices you invest in, the better quality, full-featured, and long sustaining use you will get out of it. Data Recovery

There is nothing worse than the feeling you get in your gut when your computer screen goes black and shuts down. When you start your computer back up the black screen comes up and with white writing flashes ERROR across the monitor. Suddenly you panic and you realize all of the pictures, the music, videos or important documents you may have on the hard drive may no longer exist. Before you decide to throw your now overpriced boat anchor off the top floor of your business or home there is the last line of defense: Data Recovery.

Data recovery comes in a two forms: physical data recovery and software based data recovery. Hardware data recovery is the physical components and structures of the hard drive (or storage device) that has decided to break down and stop functioning. This could be replacement of circuit boards, head replacement, motor replacement or physically moving the platter into a whole new brick (hard drive case). This cannot be done by most users or even end users. They drives are usually sent away to data recovery companies that have clean rooms and specialize in this category of recovery. If a user attempted to open up the hard drive and replace these parts by his/her self even the slightest speck of dust or impurity could have catastrophic damage to the already weakened drive. Also note that attempting this without the help of said companies can also void the warranty you may have on the hard drive itself.
Sometimes you get lucky and the hard disc itself is still readable but not by normal methods. That data can usually be accessed by putting the drive into another computer with a working OS (slaving the drive into a machine) and transferring the data onto a portable drive. This is the best case scenario. Other methods would be to run data recovery software to repair partition tables or file system damage. These methods can be run by end users (computer techs) as it requires no physical equipment. Note that these may sound simple enough but the software requires constant attention due to errors and the recovery process itself can take days to finish. This depends on how badly the software side is damaged.

It is even possible to recover files after the hard drive has been overwritten. This is difficult as the drive itself has for the most part been “erased.” This doesn’t mean that ALL the data can be recovered when the drive has been erased and then written over. It’s like someone taking the Mona Lisa, painting over it with white primer and then letting a small child finger paint for days all over the “blank” canvas. It may be possible to scrap the paint off and get the image underneath, but the chances of it being visible are slim.

Now you ask, what could cause hard drive issues? No before you say it, the universe did not do this to you. It is not trying to give you the proverbial middle finger and make your day even worse. Hard drives physically break down over time. Like anything hard drives are not perfect. Because of all the moving parts things will eventually break down. The motor may go if you leave the disc spinning all the time or the circuit board may eventually become fried. Another issue may be power surges or failure that can cause both physical and software based damage.

How do you avoid the happiness vampire that is data lose? Simply become more proactive. Backup your important files onto a flash drive or portable hard drive every week. That way if your drive was to fail you can still have access to these files. Another option could be Northern Computers Online Backup Solution. Browsing the internet can be a very dangerous place. Every day you hear about groups or people who somehow manage to get individuals personal information. It makes you wonder how secure your web browsing can be. It makes you ask questions when you are checking bank accounts or ordering online. “How secure is this?”

What is meant by "secure"?

Anytime you view a website information is sent from your computer to the web server and from the web server to your computer. The transmission of this information is normally sent in "plain text", meaning anyone would be able to read it should they see it. Now consider this: Each piece of information transmitted traverses many computers (servers) to reach its destination.

Windows Users, to see just how many machines your information traverses, follow these steps:

1) On your computer, click Start, then Run
2) Type "cmd" and click "OK" (or press Enter)
3) Type this in exactly: tracert www.northerncomputer.ca
4) Press Enter

Each listing in the window is a different computer/router/switch (a "node" in networking terms). Each "node" represents a point at which any data you send might be recorded!

So what’s so special about this you ask? Consider this the next time you type in a password or your credit card number. If your connection isn’t secure your credit card information and password are being transmitted in plain text. The solution? Simple, a secure browsing session or connection to the host server/computer.

SSL uses a complex system of key exchanges between your browser and the server you are communicating with in order to encrypt the data before transmitting it across the web. A web page with an active SSL session is what we mean when we say a web page is "secure".

So the next time you are browsing a website, check out the prefix of the website. Is your bank site secure? Is the order window displaying your credit card for the world?

How can I tell if a web page is secured?

There are two general indications of a secured web page:

1) Check the web page URL

Normally, when browsing the web, the URLs (web page addresses) begin with the letters "http". However, over a secure connection the address displayed should begin with "https" - note the "s" at the end.

2) Check for the "Lock" icon

There is a de facto standard among web browsers to display a "lock" icon somewhere in the window of the browser (NOT in the web page display area!) For example, Microsoft Internet Explorer displays the lock icon in the lower-right of the browser window:

As another example, Mozilla's FireFox Web Browser displays the lock icon in the lower-left corner:

THE LOCK ICON IS NOT JUST A PICTURE! Click (or double-click) on it to see details of the site's security. This is important to know because some fraudulent web sites are built with a bar at the bottom of the web page to imitate the lock icon of your browser! What is a Small Business Server and Do I Need One?

Every business uses computers and as your business grows, your business adds on new desktops, laptops, POS (Point Of Sale) systems, smart phones, tablets… Soon you have information everywhere that is only accessible on each separate device.

If this sounds familiar, it may be time for a server – a computer that delivers information and software to other computers that are linked by a network. A network of computers connected to a server is more efficient than employees working on individual non networked computers. If you have 5 or more employees, you need to consider investing in a network server. Below are a few of the reasons to invest in a server.

Expensive hardware such as printers and scanners can be shared by users on the network.
Data is stored centrally, allowing employees to easily find, share and modify data from their workstations/PCs.
Security levels and password protection settings can be created in order to access information. Accounts for individuals and groups can be set up with rights assigned to the data stored on the server. For example, the sales staff could be set up so that they do not have access to employee personal records.
Increased reliability. A server differs from a regular PC because it can be equipped with redundant power supplies and multiple hard drives that work in a RAID configuration. To simplify, this means that if one of the server’s hard drives fail, it can operate on the other drives for a period of time until the failed drive is replaced. Also, if an employee’s work station fails, they can move to a new work station and continue working.
Multiple operating systems can be loaded onto one server, using virtualization technology, allowing for less power consumption and much faster recovery in the event of a disaster.
Simpler backup. Since all data is centrally stored on one system, rather than multiple systems, backup is greatly simplified.
Resources can be freed up on all of your other computers. Since data and programs are not necessarily stored on each individual computer/work station, local hard drive space is freed up.
Make your work force more mobile. With the use of a remote server, employees that work from home or on the road, can access files on the server.

Protecting Vital Company Information - Security Audit

In today's world people want easy access to their business information. Some of this information will be considered sensitive therefore it is important to properly secure access to only those that should have access.

A security audit is really the final step in the implementation of your security defenses. Prior to this you undertake a risk analysis. Then you develop a security policy to define what you are going to defend and how you are going to defend it.

Various protective steps will be put into place to prevent unauthorized access. Perhaps access requires establishing a VPN connection beforehand. Almost certainly access will require a username & password and various policies will need to be in place as well. For instance, a requirement that passwords meet certain complexity rules or that all information on laptops be encrypted with password protection. A good security audit should find any gaps in your existing defenses.

Many people opt to have external security consultants perform the audit. If you are a small company you might not be able to afford security consultants and you also might not have the in-house expertise to do a sophisticated audit on your own. This however does not mean that you can or should do nothing. The exercise of understanding what you are securing and how you are trying to secure it is worthwhile on its own.

If in preparing for an audit you realize that vital company information is held on laptop computers then this will lead to questions like what happens if the laptop is lost or stolen? How easy can someone access the information on this laptop? We all know or should know that 100% security is impossible. There will always be risks. However often low cost simple security steps will significantly improve your security.

So how would you go about a simple security audit?

Security List

Begin by creating a list of items that potentially need securing. This list should include things like servers, desktop computers, laptops, routers, other networking equipment, printers, data (sales, customer & employee information), smart phones, PDAs, VoIP phones, VoIP or regular phone call recordings and records, email and so forth.

Threat List

Using your security list determine what is sensitive as well as how an unauthorized individual might access the sensitive data. This will constitute your threat list. Look at things like do all computers have passwords? Who knows the passwords? How strong are the passwords? Do passwords need to be changed periodically? Are laptops taken offsite? How easily could computers be removed from the physical premises? Do you have a list of the equipment? Are you creating backups of sensitive data? How are things being backed up, where are the backups kept, and who conducts the backups? How is access being controlled? Can information be accessed from outside the company premises?

Prioritize Threat List

After determining what threats exist you should prioritize the list. Look at the probability of unauthorized access coupled with the potential harm.

Security Threat Response Plan

Starting at the top of this list think about how you might reduce the risk of each item. This will become your security threat response plan. Remember lots of low cost simple steps exist that will improve your security. Stronger passwords, improved physical security (lock the server in a wiring closet), ensuring all computers are patched with security updates regularly, limiting web access, ensuring antivirus products are being used and are updated properly, implementing encryption of data with password protection, etc. If you do not have a backup of sensitive data you will need to devise a backup policy and plan as well. This should include some form of offsite storage for obvious reasons. Now that you have your security response plan you need to implement it.

Implement Security Threat Response Plan

After implementation you will periodically do a security audit, which essentially, is running through the whole process again. Each time you go through the process you will likely unearth new risks as well as cost effective ways of reducing risks.

The Ports on Your Computer

What is all that stuff?

This is roughly what the back of your computer looks like. If you have a laptop you may have some of these items placed about the machine. A daunting task for anyone purchasing a new computer is seeing this and connecting the right cabling to the right port. Here is the good news; if it fits, you are probably OK. That doesn't mean forcing anything to fit either (almost all technicians can attest to seeing this at some point in time).

Knowing that if it fits is also aided by the fact that most cables and connectors are coloured the same as the corresponding port on the computer.

What do they do?

Starting left to right:

PS/2: These are your keyboard and mouse ports of old. Generally speaking, keyboards and mice use the USB interface.

VGA, DVI and HDMI: These are the video ports, whereby video is transmitted from the computer to your monitor, TV or projector.

Optical drive: This is the lesser used audio port, mostly used for high quality output of audio to home theatre or production level mixing boards.

USB: Where almost all accessories go into. Printers, flash drives, external hard drives, digital cameras etc.

IEEE 1394 (Firewire)/ eSATA: These are faster versions of USB that are lesser used. eSATA devices are gaining in popularity, expect to see more devices using this port in the future.

For most users, privacy is essential - which is why assigning a password to your computer's user-account is an excellent option for everyone. Windows 7 makes account password protection an easy process. To create a password for your account in Windows 7:

Open User Accounts by clicking the Start button, clicking Control Panel, clicking User Accounts and Family Safety, and then clicking User Accounts.
Click Create a password for your account. Note: If your user account already has a password, you can change your password by clicking Change your password.
Type the password in the New password box, and then type the password again in the Confirm new password box.
If you would like to use a password hint, type the hint in the Password hint box.
Click Create password.

What you Need to Know about Computer Warranty

When purchasing a computer it is important to consider your warranty options, and there are a few. Do you want onsite or depot warranty? How long do you want your warranty to last? What do you need it to cover?

hat’s covered under warranty: Warranty covers hardware defects. It does not cover software issues, viruses or breakage. Let’s say your computer won't boot because your hard drive has failed. Warranty will cover the physical replacement of the hard drive and the labour to replace it, but it does not cover reloading the operating system (Windows), transferring data, installing an antivirus program or any other software you have installed.

Some manufactures have local depots that do warranty repair for you, but others don’t. So it’s important to find out who can do warranty work for your brand of computer and where they are located. Here at Northern Computer we are warranty authorized for the following computer brands: Integra, Lenovo, Toshiba, business line HP computers as well as other server and printer brands. If you have a laptop that you travel with it’s important to make sure your warranty is international. But on top of that find out how many international depots there are. For instance if you buy a Toshiba laptop, you will have an international warranty, but in Canada there is only one international Toshiba depot and they are located in Ontario. You would have to ship your laptop to them. An onsite warranty option means that a technician will come to your site of business or home location (within a 100km radius of a Lenovo service center) and repair the problem there.

When you are buying a new computer it will come with either a one or three year base warranty. From there you can choose to extend to four or five years. You can also decide to add a warranty upgrade that covers breakage. Different manufactures call it different things such as Systemguard or Protection Plus. This covers breakage, spillage and basically anything that goes wrong with your hardware, even if it’s caused by you! At Northern Computer we are the warranty depot for Lenovo’s Protection Plus coverage.

If you live in a remote area, and there are no repair depots near you that can do warranty work, there is yet another option for you that some manufacturers offer. Lenovo calls it Easyserve. This allows you to call the manufacture yourself and explain your problem to them. From there Lenovo will arrange for a courier to pick up the computer and deliver it to a Lenovo repair depot. Following its repair, Lenovo will arrange delivery of the computer back to the same location. Shipping is included with the Easyserve warranty!

Home Security and the Internet

Some people live with the illusion that they have protected their home networks from internet attacks by purchasing a firewall. Manufacturers even promote this by identifying their products as firewalls. Sadly, most users are not protected by a firewall, but by the simple router.

What’s the difference between a router and a firewall? Without complicating it too much, a router acts as a junction point between the computer (or computers) in your home and the internet. It has the ability to route your computers requests to the internet and route the responses back to your computer. A firewall has this ability as well, but also offers another level of security by actually inspecting all the information and making some decisions about if it should allow it or not. Since most routers are relatively simple devices, they act as a firewall because they are not capable of complex tasks, like routing internet requests back to your computer without some assistance.

A very common attack on the internet is called a DOS (Denial of service) attack. A hacker floods a website with requests for information that don’t exist and the website becomes overrun with requests, and service degrades. Hackers have been known to exploit this attack to gain access to a site. How is it done? Usually a hacker will gain control of unsuspecting computers around the world, and use them to launch these attacks. Your home computer could be infected and used as a pawn. A router would simply pass your computer’s requests on but a sophisticated firewall could identify the traffic as suspicious and notify you.

So, how concerned should you be? It really comes down to your personal comfort level. A basic router provides adequate protection. Make sure if you have wireless access on your router, that you encrypt this as well. Keep your computer’s antivirus updated and run a regular scan. When you do have problems, deal with it promptly. The old saying “locked doors keep honest people out” is pretty a good analogy. You leave in the morning and lock your front door, as you head to work. If someone wants access to your house, it’s fairly easy for a professional to gain access. The same is true with the internet, if someone wants access, they will get it. With millions of computers on the internet, and thousands of unprotected machines available, your chances of attracting attention are pretty slim.

Speed up Your Computer's Startup Time

One of the most irritating issues when using a computer is a slow start up time. For most it is as quick as hitting the login button, but for others, it’s a dreadful time. If you ever Google “how to speed up my computers start time” you will come across thousands of articles, all with different suggestions and ideas on what to do. Though I don’t agree with all of them, I went through and compiled a list of my top 7 suggestions that I find to be the most helpful.

7) Disable Start-up Programs:

The first thing I do when I hop onto a user’s computer for the first time is check out what programs they have loading on startup. To check this out in Windows XP go into your start menu, click run and type in MSCONFIG. If you are running Windows Vista or Windows 7 open up your start menu and in the search box type MSCONFIG and enter. Now click on the STARTUP tab. This will tell you what each application is so that you can decide which you would like to turn off.

6) Uninstall Unused Applications:

Your system is greatly affected by the amount of hard drive space available to it when it starts up. If you notice your computer’s hard drive is getting full or is in the red, it is time to clear out some of those programs. Go into the Start Menu, and press Control Panel; for Windows XP - Add and Remove Programs, and for Windows Vista/7 - Programs and Features. Right click any applications you don’t use and click Uninstall.

5) Remove Unused Fonts:

This one I had never heard of before, but after looking at countless articles and blogs suggesting their removal I am a believer. When windows starts it loads EVERY font you have installed. Go to the Control Panel and find Fonts. For Windows XP if you find fonts you do not use delete them. With Windows 7 you can now hide fonts from start up. While holding down the CTRL key you can click on each font you don’t use. When done just click hide on the top of the window. Note that disabling a few fonts won’t make a difference but with Microsoft Office installed Windows will have over 300 fonts installed. Fonts to keep? Arial, Helvetica, Tahoma and any other fonts you like the previews of.

4) Installing New RAM:

As the saying goes after you buy a new PC it is out of date. But for most users, their computers can be between 3 – 5 years old and may have not been upgraded to meet the new requirements of applications and operating systems. RAM is a cheap and effective way to not only speed up the start up of your computer but the overall experience as well.

3) Scan For Viruses:

Many people are unaware that their computer has been infected with a virus. They take up computer resources to run and propagate. Running antivirus software and scanning software found online can remove the infection and bring your computer back up to speed.

Alright so you have tried all of these, but your computer is still running slow. There are two more suggestions to help make your computer run faster.

2) Reinstall the Operating System:

Yes it is what we like to call a wipe and reload. Erase the hard drive and start from scratch. Before you do this make sure you have backed up all your data to an external hard drive for safe keeping. This allows a baseline installation with no overheard to start over and only install the programs that you need.

If this is not doing do the trick then there is only one more thing you can possible do...

1) Buy a New Computer:

This day and age computers are mass produced and cheap. Often, for the price of a technician’s time to look and fix these issues, you can have yourself a nice new computer tower or laptop. Healthy Networks are Happy Networks, Part II

In the first article we explored what comprises a network, and how maintenance is important. In this article, I want to expand on what is involved in the maintenance of a network.

Network health needs to be maintained. An unhealthy network will eventually begin to experience problems and performance will be affected, to the point where significant down time will be experienced.

Physical structures:

These are the visible parts of the network - workstations, switches, servers, printers and any other devices that make up the network. Ensure workstations are replaced at the end of life. A single slow computer can pull down the performance of the entire network. Switches are notoriously reliable and can last for years and years, but a faulty or poor performing switch can be difficult to diagnose.

Backup systems:

Backups are like insurance. Nobody seems to care about them until they are needed. Check your backups regularly. You should regularly verify a backup by restoring a file, and also monitor the size of the backup and how long it takes to complete.

I once discovered that a client had not been getting a backup for over a year because of changes that were made in the system. The problem was not detected because the backup was completing successfully. When the client reviewed the logs, he had failed to notice that the size of the backup had dropped to almost zero. Backups are a great way of monitoring network health.

Updates:

This is a more difficult aspect of a network to maintain. All computers, INCLUDING the server need to have windows updates applied regularly and event logs checked for errors. Many updates are security fixes for weaknesses and potential faults that hackers will explore and exploit. Failing to keep up with these updates can have serious consequences. New viruses often take advantage of these faults and can consume the entire network, resulting in days of downtime while the problems are resolved. However, there can be a downside with installing updates. Sometimes the updates result in changes to the system, and various services need to be adjusted. Windows updates, or even software updates, can fail to install correctly and cause problems.

Monitoring:

It is very common to overlook checking the event logs on a workstation or server. Often everything seems to be working correctly and it can be several days, weeks or even months before an underlying problem causes the network to degrade. A common problem that I have seen is when a hard drive, which is used to store information, begins to fill up. One of the first problems that occurs is the inability to print. You restart the computer, and printing is restored for a period of time, only to fail again. The event logs are full of errors, but they aren’t always visible to the user.

We assume some of the responsibility for maintaining network health and the cost becomes a fixed monthly price.

2 x The Monitors = 2 x The Work Efficiency?

Many people spend a good part of their day at their computers and most will have multiple windows open, moving from one screen to the next. I find that I will sometimes have so many windows open that I spend too much time looking for the window that I need. Adding an extra monitor can help to increase productivity when you are multi-tasking. I often compare documents or cut and paste from one document into another and I find it very productive to have two the windows open side by side.

Setting up a second monitor is easy too. If you do not have Windows 7, Vista or XP installed, you may have to install a display driver from your computer’s manufacturer.

Can you really increase productivity with multiple monitors?

1. Do you ever spread out different items over your desk in order to organize?

2. Do you often have to flip between an email and a related document?

3. Do you find yourself having to copy or cut and paste from one document to another?

4. Do you ever have to review two versions of the same document at the same time?

5. Do you spend a lot of time switching between programs?

6. Do you edit photos in a folder and refer back to the originating folder for more pictures?

7. Do you use information from the web or documents when composing an email?

8. Do you waste time trying to sort through different widows to find the application or document that you need?

If you answered yes to any of the above, an additional monitor will most likely help you to be more effective at multi-tasking.

Benefits of Multiple Monitors

1. Eliminate the need to print pages of wasted paper that is thrown away after reviewing it.

2. Increase efficiency, productivity and save time. Stop wasting time sorting through open applications and documents.

3. Easy comparison of documents.

4. Share data easily between applications.

5. Use multiple programs simultaneously.

6. Keep your email, POS system or other commonly used program open on one screen at all times and use the other screen for the project you are working on.

Dual Monitor Setup

In order for your computer to support a dual monitor, you must have more than one monitor connection on the back of the computer. The connections will need to match the monitor cables. These may be DVI connectors, VGA connectors, HDMI connectors, or S-Video connectors (for using your TV as a monitor). See the chart below for a description of the different ports. A laptop, if manufactured in the last several years, at a minimum should have a VGA port for setting up another screen.

1. All that needs to be done at this point is to plug in the monitor cable to the corresponding port on your computer and make sure that the monitor is turned on. Your computer should automatically detect the second monitor. If not you may have to restart your computer first.

2. Lastly, you may have to configure your displays if you are connecting a laptop or your desktop does not automatically detect the second monitor. For a desktop, your settings should be set to automatically extend your display, but just in case, follow these instructions for Windows 7 (Vista and XP may vary a bit).

· On your desktop, right click and select screen resolution or click on the start icon and click on the control panel, then select appearance and personalization. Click on adjust screen resolution.

· Select extend these displays from the multiple displays drop down menu. This will allow you to spread your desktop over two screens. Other options include only using one of the monitors or duplicating the monitors.

To move windows between displays, click on the title bar of the window and drag the window to a new location.

Monitor prices are much more affordable than in the past (19” LCD for $150.00) and LED monitors are energy efficient. So how do you get your company to implement dual monitors? Start with the boss. Have him/her connect a second monitor and then after a month, ask how he/she would feel about having that second monitor taken away. After discovering how much more efficient they have been, they may panic and tell you that they could never go back to one monitor.

What is the Cloud?

“Cloud Computing”. You may have heard or seen this new catch word that many organizations have adopted in to there line up of services. What is “Cloud Computing”? This can be a hard question to answer as many people have their own definition on this type of computing.

The items that Cloud Computing Services provide that intrigue most organizations are the following: saving your company money, access to the latest technical advancements in software, and anywhere access via the internet to your hosted cloud services, that operate on a very reliable/redundant hardware platform.

The infrastructure that allows us to provide Cloud computing is still built on server hardware similar to what you may have in your office. The main differences are the hardware is more reliable, components are redundant, and for the most part, the software is the most feature rich release from the vendors. Small and Medium size business now have Enterprise software available to them that is normally out of reach, as normal IT budgets would not be large enough.

Now the best part of all this technology is you don’t have to purchase any of it. All of the services in the “Cloud” are provided for a monthly fee. These services can scale up and down as your business grows or shrinks. You can think of it as an elastic environment.

Instead of the hardware being in your office, it is now located in a secure building called a data center. Security is of the highest importance in data centers. Data centers should only allow access to individuals that pass criminal record checks and technicians that are highly qualified. All access in and out of the data center should be recorded and monitored via video cameras. You will find that many of these data centers are located in concrete bunkers protected from fire and theft. Multiple levels of access are required to gain entry to the equipment.

If you have a server or application that you need to run that operates your business, in many cases we can host this server in a “Cloud” Environment. There are some applications that require more work than others but for the most part if the application runs on Windows it can also run on Windows in the “Cloud”.

Hosted servers can run Microsoft and Linux operating systems and access to these servers can be provided via multiple secure methods. If the workload increases on the server and it starts to run slow, we can scale up the hardware resources providing a better performing system suited to the workload demand. Your data backups will also be looked after for you with out the need to take home tapes or hard drives.

Storage can also be provided via Cloud hosted servers. There are some applications that require a back end SQL server or database of some kind. These databases can be setup on a server in the data center and secure access can be provided to the resources. We have multiple ways of providing access to these types of data. You can host almost any type of data that resides on a windows environment, from Microsoft Office Documents, to Simply Accounting or Quickbooks Databases. Dedicated or Secure Shared storage can be provided based on the customer’s requirements.

Cloud hosted servers and applications can be bundled with system maintenance packages. There are some services where all maintenance is looked after for you. Instead of having an Exchange Email server in your office that you have the expense of maintaining, this can all be looked after for you via Hosted Exchange in the Cloud. The maintenance to run any server in your office can be costly over the long run. The ability to have a set cost on your IT/Cloud Services is a very attractive concept for most organizations.

The operational costs vs investment costs should be reviewed when looking at purchasing new equipment. When you acquire expensive hardware to run your services it is considered as a capital expenditure and can be a large one at times. Also, the acquisition depreciates over the years. The Cloud computing model allows you to spread your expenses over several operational cycles, becoming part of operational costs. Your accountant will most likely tell you this is a much better alternative.

To summarise, cloud computing is growing at a phenomenal rate, both in the range of services offered by cloud vendors and also in the way companies are using these services to improve their own business.

LED vs. LCD

For many years, we have been supplying our clients with flat screen monitors with the LCD (Liquid Crystal Display) technology. But what about this new technology called LED (Light Emitting Diode)?

LED monitors are a form of LCD monitors that use the same technology but with a different kind of backlight to produce the displayed image. There are many factors to consider when comparing the two. And of course, there are always those who prefer one or another, but we will stick to the facts.

We will start with the black levels and the contrast as one of the more important factors for producing high quality images and then compare color, weight, power consumption, size and cost. I believe that looking at all of these factors should be enough to create the whole picture in the LED vs. LCD monitor comparison.

One of the biggest problems with displaying the proper black color on LCD monitors is that backlight is always turned on during usage which usually results in a low contrast and a pretty poor display of the dark areas and black colors on the display screen. In order to display black color properly, LCD panel needs to block backlight and make it totally black which in most cases is not possible.

In terms of producing good quality colors, both LED monitors and standard LCD monitors are pretty much the same. Color reproduction of LCD displays depends directly on the quality of the particular panel, while LED displays do not have any specific advantage over them. However, if you are using tri color LED monitors, they have the ability to change backlighting colors when needed according to the scene. Only those displays are capable of producing more accurate colors.

Power consumption on LED displays can be as much as 30-40% less than that of LCD’s and thus they are more green- friendly for the environment.

Size is the biggest thing that you will notice. LED monitors are much thinner than LCD units. LEDs also weigh less if you wishing to mount them on a wall or hang from a ceiling in an office waiting room or other areas.

Pricing at the moment is less expensive for the LCD units, but that is not due to the cost of the technology, but the fact that LCD’s are being mass produced compared with LEDs.

POS and the Customer Experience

I’ve been installing Point of Sale Systems in businesses for almost 20 years now and have come to the conclusion that no matter how powerful the system is, it’s how it’s used that makes a world of difference to the customers of those businesses.

Some companies simply use a POS software package like a cash register – setting up minimal items to sell, processing sales to “cash” customers, and printing out the reconciliation (“Z total”) report at end of day. Others focus on the inventory side of things – making sure they keep track of what they have, but neglect to capture client information at the point of sale.

To truly unleash the value of your point of sale software, no matter what it is, you need to think from the customer’s point of view. As a customer myself, I want a quick and painless process to buy products. That means barcoded items that have prices prominently displayed and scan in easily at the counter. Also important is an itemized receipt showing each product, price and any discounts or loyalty points that I have.

At the same time, if I’m buying a major item like a computer, I would want a record kept of the serial# and a proof of purchase – just in case I have a problem. It’s frustrating to phone in to a store and not being able to find out the date I purchased a product or any relevant information on it. We use a product called CISPro that we developed ourselves and enter every bit of information we can when selling products. When a customer phones in to inquire about what they bought a month, a year or 3 years ago – the information is at our fingertips. That’s a good customer experience and well worth the time invested in the system to provide it.

More companies are investing the time and resources to provide these types of experiences for their clients – it’s just good business to make sure your point of sale system can do the same for your own customers.

Healthy Networks are Happy Networks!

The last 20 years of business have been radically transformed by computers. They are everywhere and they are connected and they talk to each other! Fax systems are on the decline, having been replaced by email. Tills are gone, and replaced by advanced POS (Point of Sale) systems. Everything is available online, and nobody is working when the internet goes down. Many businesses have ominous black boxes, humming away in a forgotten corner, labeled as ‘The server’ and nobody seems to know what it does, until it fails, then everybody is aware of what is affected.

A network is not only the physical connections between individual computers, but also how the computers are configured. It includes components called switches that provide the connection point from the various computers. Most networks these days are called a Star Topology, with cables running from the central switch (or switches) to each device.

Many networks include a server, which can provide a number of resources to the workstations connected to it. Servers can manage printer usage, handle email flow, manage file access and a number of other tasks.

Networks usually include a device to connect everything to the internet, called a router or firewall. These can be relatively cheap devices for under $50, to sophisticated ones costing thousands.

Several years ago, I was meeting with the Accountant and General Manager at a business that I looked after. We were discussing purchasing another computer. The GM, in frustration said “we need to get rid of these damn computers and go back to paper and pencil,” and the accountant replied “well, I’m going to need a few more staff in the accounting department”.

Computers automate so many tasks that the effect is hard to measure. My brother worked in a coal mine his whole career, and during his time there, the engineering department went from 30 staff to 2 because of automation.

It’s not until the network fails that you discover the value of maintenance. Running your car without replacing the tires or doing oil changes might work for a while, but everybody agrees that you are better to maintain a car than replace it frequently. Networks are very much the same. Sometimes we setup computers and walk away. Often the computers will run for some time before they experience problems. The same is true for networks. It is possible to do zero maintenance, but in the long term, the cost of maintenance is recovered in increased productivity and longer life. A single day of downtime for many organizations isn’t feasible.

At Northern we see new clients come in, frustrated with their network performance. Often the problem isn’t who is looking after the network, it is how well maintained the network is. Automated Dial Out function – A query can be built to send an audio message to select contact numbers. For example, a reminder of an upcoming doctor’s appointment or that your insurance is coming up for renewal.
Real-time Communications to Employees – Send a text or audio message to send to company employees.

DID (Direct Inward Dialing) – This feature allows your phone system to connect incoming calls to specific extensions without operator or attendant involvement. This feature allows for employees to have direct phone numbers that integrate with the main phone system.

Should I Buy a Laptop or a Desktop

When it comes time for you to buy a new computer, you may find yourself torn between a desktop computer and a laptop. There are good reasons for both, so the final decision should be based on your specific needs. You may want to consider the following factors when making your purchase.

Generally speaking, you’re going to pay more for a laptop than a comparable desktop computer. Smaller components and portability are more expensive and you will see that reflected in your price. Additionally batteries are still quite expensive and account for a large portion of the cost of the laptop. If the computer is used mainly for word processing and internet use, a laptop might be a practical choice. However, video games, video editing and even desktop publishing require additional memory, storage, processing power and possibly high-end video and sound cards. Each of these will increase the cost and the weight of the laptop.

Of course, the main benefit of a laptop is the portability. This can be a huge benefit, allowing you to take your computer to and from work, on planes, on business trips, and practically anywhere else. Along with this benefit comes a large drawback. It is just as easy for someone else to walk off with it as it is for you. Laptops are stolen at an alarming rate, because they are just so easy to steal. And when that computer is stolen, not only do you lose the value of the computer, but also all of your valuable data. Many manufacturers include encrypting software or the ability to wipe the drive remotely. Some even have new technology to have the laptop tell you where it is once connected to the internet.

Desktops are less expensive to repair and upgrade plus will probably have a longer lifespan than a laptop. Desktops typically have a larger monitor with 23” being the standard today. Laptops are models are 13 to 17” screens with larger screens consuming much more battery life.

Laptops are more expensive to repair and upgrade due to their small size and proprietary components. It is highly recommended that you get an extended warranty and accident insurance to cover drops and spills. With portability comes bumps, drops and other accidents. Even with higher quality laptops you can expect more than double the chance of hardware failure over a comparable desktop.

Laptops are the most convenient computers to use; you can do whatever you want, whenever you want, wherever you want. While the hardware may not be the same, the software that you use on a desktop or laptop will be identical; any software will run the same on a laptop or desktop and the end user experience is the same.

Some additional cost to laptops includes a laptop case or backpack specifically designed to protect the laptop from damage. You may require a cable lock so that you can secure the laptop to a desk so it can’t be stolen. Batteries could lose about 50 % of their charge after 3 years and you may be looking at well over $100 to replace it.

In the end it comes down to portability and convenience. Laptops can go where you go and allow you to work or play anywhere. A laptop is going to cost you more but the benefits may well be worth it.

OMG, My Computer is doing Something Weird

Finding a good antivirus package can be a daunting task for anybody with a computer. There are a lot of choices and as many opinions. Once you have chosen a package there are no guarantees you will be problem free.

Antivirus applications today deal with three basic classifications; Spyware, Malware and Viruses. Spyware monitors internet usage and reports this to companies for marketing purposes. Malware entices users to click on links to ‘fix’ problems for a cost, or buy services. Actual viruses allow remote access to systems and try and look for and infect other computers. It becomes even more complicated in a corporate environment. Business owners require that their networks run reliably and fast. A small network of 5 computers can cost hundreds of dollars an hour in lost productivity when they are not functioning.

There are some criteria that need to be considered when choosing a package;

Installation

Some packages are very easy to install, and some are much more complicated. Existing problems on the system and removal of the existing package can complicate the task. Often people will attempt to install a package when they believe they have a problem, or a problem becomes evident during the install.

Operation

Antivirus applications often operate silently in the background. Users can scan their computers, or this process can be automated to run on regular schedules. The same is true for updates. When an infection is found, user intervention may be required.

Performance

Performance can be a key selling point. Obviously customers want the best protection, but some antivirus applications can seriously affect performance. It’s important to find the right blend. In addition, some client applications perform better with certain configurations, particularly when running network applications like accounting and pos software.

Infection

Inevitably systems will become infected. Some antivirus applications can become as big a problem after an infection as the original infection. There are a lot of tools available to fix problems and an experienced technician will be aware of the most effective treatment. It’s important to balance the labour cost of trying to fix the problem, versus just erasing and reloading the entire computer. Sometimes, after a long and frustrating attempt, a decision needs to be made to simply erase the computer and start from scratch. Unless you are part of our IT Manager program, all costs are your responsibility.

In our work with various clients, we see a number of different solutions and are constantly discussing what is best for our clients. Many of the ‘free’ antivirus applications available are not licensed for business use and even fewer have any kind of support for network environments. It’s important to install a solution that supports networks and also allows for centralized management. Updates need to be monitored, and notification of infections documented. Some systems will provide automated notification via email which allows us to respond, often before a customer is even aware of a problem. Northern Computer has been using Symantec Corporate Edition on many installs for some time now but we have a number of customers with other systems that are already in place. The cost of switching from one product to another needs to be balanced against the cost of support.

If you are not paying for monthly monitoring and support it’s important to be aware of some key points. Updates on all your workstations and servers need to be checked as well as running regular scans. Log files need to be checked since repeated infections can be a sign of other problems. Sometimes a particular user is blamed for constantly getting infected, but the reality is that older systems, and systems with faults, will be prone to infections.

Are you Concerned about Security while Remotely Accessing the Office?

Remote Desktop Services (RDS) in Windows Server 2008 R2, formerly known as Terminal Services in Windows Server 2008 and previous versions, is one of the components of Microsoft Windows. RDS allows a user to access applications and data on a remote computer over a network, using the Remote Desktop Protocol (RDP). Remote Desktop Services (RDS) allows remote computers to run desktops and applications on a server as though it was running locally. The keystrokes and mouse action information is sent from the client to the server over the network and visual display information is sent back to the client from the server. The client can be a full-fledged computer running any operating system (as long as the RDS protocols are supported), a tablet, a thin client, or an internet device powerful enough to support the protocol.

RDS is a cost-effective infrastructure platform for any type of organization, most often selected by business with a roaming workforce, structured task workers, and/or knowledge workers with a need for flexible desktop or application access. Businesses utilizing contractors, offshore workers, and office workers or have a need to work from home, also benefit from RDS.

By using Remote Desktop Services, organizations can squeeze more life out of their desktop computers. As all processing occurs at the server end, desktops are essentially acting as dumb terminals. Therefore, using existing desktop hardware remains a viable option for much longer than it would if applications were run locally. Running applications on a Remote Desktop Server can also equate to additional cost savings as organizations can purchase lower-end/less costly desktop hardware.

Remote Programs make system administration easier because there is only one copy of a program to upgrade or to maintain as opposed to multiple copies installed on individual computers. An application-level patch to every desktop is now a redundancy.

The majority of the workforce today is often mobile, working from home, hotels or customer sites. With Remote Desktop Services, an organization enables an employee’s productivity virtually anywhere and increases effective user collaboration without compromising security features. Remote Desktop Services offers a secure access to desktops and applications from any device and via a low bandwidth connection, as no data is sent over the network. Instead, employees experience a consistent set of applications and can access their own data regardless of location.

Microsoft itself explicitly states that Windows 2008 Remote Desktop Services are only to be used in “low complexity” environments and that 3rd party add on tools (such as Citrix ) should be used for higher complexity environments. In reality “low complexity” in Microsoft’s terms means that all of your servers are the same, all users have access to all applications and you only want to load balance based on session count rather than on actual performance data.

Citrix provides additional functionality that a Microsoft 2008 Server simply cannot. Citrix can publish applications rather than install them locally. You can tunnel an application, control what users access what applications and publish apps to a web interface. There is a load balancer available (that utilizes real performance data), as well as automatic redundancy and it can support association of file extensions. It also allows for a single sign-on, has multiple monitor support and handles URL/Mail redirection. Citrix helps you prevent data from leaving the data center without your explicit permission, supporting regulatory compliance and security objectives.

Built-in endpoint scans and policy controls take into account each user's role, device characteristics and network conditions to determine which applications and data they are authorized to access. These dynamic attributes also define where users may store and print sensitive information. Such strong data and application security measures decrease the potential for inadvertent exposure, and enhance your ability to back up and restore information from one place for greater fault tolerance and disaster recovery.

Citrix also improves productivity for end users with extensive new high-definition HDX technology enhancements and simplified self-service access to apps from any device. The HDX technology enhancements allow customers to deliver real-time media applications like voice and CD-quality audio with a rich, high-definition user experience. New HDX enhancements in Citrix also expand support for a broad range of USB devices, including webcams, microphones, digital cameras and scanners.

In addition to supporting PCs, thin clients and laptops, Citrix now makes it easy for users to access Windows apps from Macs and popular smart phones such as Apple iPhone, Google Android and BlackBerry and Windows Mobile. Citrix is also supporting the new tablet mobile devices as well like iPads, and PlayBooks.

Today’s workforce is experiencing a strong trend in which employees are encouraged to Bring Your Own Device (BYOD). Some see this trend of “unregulated” devices as more aptly name as “Build your Own Disaster”. Regardless, the trend is picking up momentum and it is through technology such as Remote Desktop Services and Citrix that the market demand for immediate, synchronized, and protected data can be satisfied.

Time to toss your old computer – What about the data?

Are you thinking about recycling or reselling your old computer? If so, your first step should be to delete the data on it. Having data stolen, lost, or misplaced contributes to the ever growing number of people who are affected by identity theft. It can also cause corporations to lose more than data and money.

So how do you get rid of that data? Simply deleting your files and emptying your recycle bin only deletes the record of your file, but not the data that it points to. It’s like removing the labels from the folders in your filing cabinet. The folders and information still exist, but retrieving the data now takes more time and effort.

The same is also true if you reformat your hard drive. It is also possible for someone with the right tools to retrieve the data.

If you are planning on selling or recycling your computer, it is recommend that you use a utility tool that overwrites every sector of the hard drive. Alternatively, we can we look after wiping off all of the data from your hard drive or we can physically destroy your hard drive.

Lastly, don’t forget about your other storage devices such as USB flash drives, iPods and mobile devices that can also contain private information. These should be erased using the manufacturer’s recommendations before selling or recycling.

To BackUp or Not to BackUp... That is the question.

Lately, alot of clients are relying on redundancy as a means to preserve their data. Using multiple drives in a server or workstation and configuring these drive in what is known as a RAID configuration, is by no means is a backup. Servers commonly use a RAID 1 (mirrored drives) or a RAID 5 (striping) configuration. Any corruption to the data has the chance of being permanently lost. Multiple drive failures, could be fatal to any organization in this situation.

Backups are used to restore critical data that is lost or corrupted. Backups are also necessary if the hard drives that the data is on fails, gets damaged, or even stolen! Data off a failed drive can be recovered 85% of the time by a professional data recovery firm, and 40% of the time by IT service providers.

A backup is a critical component to disaster recovery plan. Most businesses do not have a disaster recovery plan, so after a fire, flood or other disasters. All plans are dependant on the company or organization. Some questions to ask when working on a plan are:
Can I work without my data for more than 96 hours? What will it cost if I need to have an employee or hire someone to re enter lost data? What other disruptions to my work flow will this cause?

Offsite backup is a great way to make sure all your critical data is accessable in a timely manner. This can be as simple as taking a tape home every night, and if something happens, restored on new equipment as quickly as possible.

What the Hecks in Your Computer - Part 4: RAM

Memory, also called RAM (random access memory) is another component that deserves some focus since it has evolved in the personal computer over the years. There is fast cache RAM on processors and hard drives but the best known memory is the type configured in sticks and added to slots in the motherboard. This is the main system RAM. The best analogy I know of for what function RAM provides is as follows: it is like the surface or workspace on the top of your desk – the larger the surface is (the more RAM you have) the more documents you can lay out and access quickly – with too little desk space (or RAM) you begin to need to pile up documents and access to them slows down as you search for them through piles– you work slower and far less efficiently. With extra RAM your computer runs smooth and fast. With too little RAM your computer slows and reacts in a choppy fashion as you have used up physical RAm and now windows is using your hard drive as virtual RAM. Remember your hard drive is exponentially slower than real RAM.

In days gone by upgrades to computers were very popular, everything from CPUs to video to hard drives. Many of those upgrades have fallen out of favor and no longer make sense financially. Currently the best value in upgrades is more RAM. Adding RAM improves many aspects of computer function for relatively not much money.

The increased amounts of RAM in new systems is driving the adoption of 64bit operating systems. To take advantage of more than 4 gigabytes of ram requires a 64bit version of Windows XP or Windows 7. 32 bit versions of windows will simply not use more than 4 gigabytes because it was not designed to. Windows 7 Professional 64 bit will support up to 192 gigabytes of RAM. Seems like a lot today but in the future will seem common place.

Do you have enough RAM? It really depends how you use your system and if it appears slow in certain programs a ram upgrade is certainly something to consider. Power users who write software or edit photos and videos or play graphic intensive games will almost always benefit from more RAM. For the rest of us the sweet spot can usually be judged by how much you see your hard drive light flashing. If it’s on constantly instead of intermittently then more RAM should be of benefit. If you are RAM shopping it is best to have it professionally installed as there is a very real risk from static discharge that can destroy your new upgrade. Also remember the RAM needs to be matched with the existing RAM in your system for speed and type, all things a Northern Computer technician can determine for you.

Mmm Cookies...

A cookie is a small file created by a web browser at the request of a web site, which is then stored on your computer. Cookies typically store user-specific information or preferences, such as selections in a form, shopping cart contents, or authentication data. Web browsers will normally clear cookies that reach a certain age, but clearing them manually may solve problems with web sites, your browser itself, or even other programs. It is good practice to clear your cookies on a regular basis (and other Temporary Internet files as well). Depending on what web browser you prefer to use, the process to clear those cookies may differ.

For Internet Explorer 9:

Tap the Alt key to display the menu bar and select “Tools”, or click on the Tools sprocket/gear icon in the upper right hand corner.
Select “Internet Options”
Under the General tab you will see a heading for “Browsing history”. Click the “Delete” button.
The options available will likely already be selected for Temporary Internet files, Cookies, and History. Clicking the “Delete” button at the bottom of this page will clear all of the cookies stored from Internet Explorer.

Alternatively, you can tell Internet Explorer 9 to automatically delete your browsing history every time you close the web browser by also selecting the “Delete browsing history on exit” option in step 3 above.

Windows 7, The empire strikes back…..

As of April 7^th, 2009, Microsoft has ended support of Windows XP, the longest running operating system in history. The latest version, Windows 7 is now widely available, and has become the primary operating system available from all leading vendors. Windows 7 is available in 3 distinct versions, Home Premium, Professional, and Ultimate. Windows 7 has provided some major enhancements. The look and feel is just different enough to throw off your average user, but many of these changes reflect on Microsoft’s commitment to improving the user’s experience. It really depends on your level of experience as well as ability to adapt as to how successful you make this transition.

User Authentication Control has dramatically improved the security, if you choose to leave the feature enabled. UAC was first introduced in Vista, the previous Windows version. It was not well received and suffered from many problems, which eventually forced many users to disable it entirely. Many early users of Windows 7 have chosen to disable this feature and so have the technicians who work with it.

Windows 7 fully supports modern computers running 64bit architecture. “Oh good” says the average user, as he scratches his head wondering what that means. Basically, today’s hardware has a lot of additional power that a traditional 32bit operating system like Windows XP can’t utilize. Windows 7 will run much faster than Windows XP if you were to install it on similar hardware. Generally a newer version will run slower when installed on the same hardware.

“Great! I want to upgrade today” is your first thought. “I want a faster computer, without buying new hardware.” If only that were true…. As you have probably experienced in the past, it isn’t always that easy. While upgrading may improve performance on your computer, there are a whole bunch of reasons that will make you regret this decision. Windows 7 has great support for older devices (printers, scanners, motherboards), but it’s not going to fully support all devices. There are a lot complications that will quickly drive the labour costs thru the roof on even the most basic upgrade. Users need to be fully prepared to replace almost any equipment that is connected or internal to the computer once they decide to upgrade.

“Yeah, I’ve been there before…fine – I’ll stick with trusty old Windows XP.” This can also cause you problems. New software and devices are being designed for Windows 7. With the wide acceptance, some vendors are not supporting Windows XP. In some cases, it’s impossible to support XP because, at it’s core, Microsoft is not supporting XP anymore. Who do you call when you’re a manufacturer of printers and a new design won’t work in Windows XP?

Ok, couple deep breaths…you’ll be fine! If what you have is working well, then stick with it. As soon as you experience problems, have Northern Computer evaluate your existing setup and work towards a solution. There are many costs to consider beyond the purchase price any time you decide to own a computer for work or for home.

Northern Computer staff have been installing Windows 7 computers since it was released and are familiar with many of the common problems. Be prepared, as you would with any new installation. Recently, I completed an install for a customer. Everything had gone very well, until 30 minutes after I left when they plugged in their digital camera to upload photos…Not supported. The only option was to go back to the old computer, downgrade the new computer to Windows XP or purchase a new camera. Downgrading is a terrible option to choose, so the customer purchased a new digital camera. I’m sure they were not happy with this choice, but given the old system was failed they were out of choices.

Printers. To service or not to service.

I am often asked whether printers should be serviced or not. Customers are concerned, of course, about the cost of regular maintenance but often forget about the cost of a breakdown.

If a machine is regularly maintained the cost to service the machine is minimal, often around a half hour per machine (under $50.00). When the machine goes down the lost time and priority service cost to the company is typically far more than the cost of maintenance. This does not suggest that maintenance will prevent all breakdowns, however properly performed maintenance by a qualified technician will prevent many failures.

The frequency of maintenance is dependent on machine type, volume and environment. If the printer is in a high volume application or a dirty or dusty environment more frequent service is needed to keep it running at its best. Your printer technician can help you to determine the best schedule for your equipment.

Regular printer maintenance is not often thought of but it will give you increased reliability, consistent quality and it could even save you money.

Our cleaning and service includes the following applicable items:

Replace any worn belts and rollers
Replace ribbon reflector if damaged
Check that the card feeder motor assembly is secured
Thoroughly clean the card transport path (tracks and platen rollers)
Clean and test the magnetic head and rollers (if encoder fitted)
Check and adjust all sensors
Test all motors
Check all belts for correct tension and either adjust or replace as necessary
Check the pressure roller for correct tension and adjust if necessary
Check and adjust the input gate
Realign the print head, peel-bar, angle and bias where necessary
Upgrade firmware to the latest version
Replace small items (screws, washers etc) where necessary
Effect any minor adjustments and repairs
Tighten any loose items
Replace cleaner roller (210/310/420/520/720)
Clean case and effect minor repairs if necessary
Full test with plain white cards .30mil (unless instructed otherwise)
Full test with magnetic stripe cards (if encoder fitted)
Self test and test from PC application

Digital Signage at Work

Digital signage has many benefits. It can increase sales, make clients aware of your other products and services, display public information (date, time, weather, news) and shorten perceived wait time. Our latest client to have it installed is using it for all of these reasons and they have also found a unique way to use their sign as well. Mobil 1 has installed a pit cam to show their customers what is going on under their hood and they are displaying it on their digital screen. For liability reasons, clients cannot go down into the pit area to have a look at what is going on under their vehicle and the ability to show any areas of concern adds to the credibility of Mobil 1’s service technicians.

When the sign is not being used to show their customers what is going on under their vehicle, it is being used to display advertising for other local businesses. This does more than offset their monthly costs for the sign, it creates a revenue stream. As for the businesses that are advertising on their digital sign, they are getting a captive audience, who is viewing the sign because it is also displaying what is happening under their vehicle.

Mobil 1 is also using some of that screen time to share their other services with that same captive audience and to display news and weather feeds that help to shorten the perceived wait time for their clients.

Digital signage has proven to be an innovative way for Mobil 1 to market their services, create a revenue stream and increase their credibility with clients. How Do I Know if I Need a New Hard Drive - Traditional vs SSD

Easy answer; If it has failed or is failing. An easy way to tell if it is failing; listen to the hard drive itself for a clicking or grinding sound, couple that with degrading performance and it is likely that your hard drive is on its way to a better place. If you notice these symptoms try to do a backup as quickly as possible, or call your local Northern Computer technician to have us save the data before it is too late.
If you have decided to upgrade or replace your hard drive then you have a few things to consider: Interface, style, storage size, data transfer rate, form factor etc etc.

In years gone by the standard interface for hard drives and other devices was IDE, more recently a shift has been made to SATA. Without overloading you with computer jargon; IDE is slower/bigger (bigger being a problem for heat dissipation within the computer case,) while SATA is fast and getting faster and has a very small footprint within the computer. To sum up, older PC’s (5+ years old) will very likely run on a IDE interface, while anything newer than that will give you the option of both IDE and SATA.

In recent years there has been a movement from the standard spinning plate hard drive (very likely what is in your PC) to what is called SSD or Solid State Drive. A solid state drive is exactly what it sounds like, solid with no moving parts. The benefits to a SSD drive are significant; lower failure rate, smaller form factor, higher transfer speeds of data, less consumption of power. The major downfall at this point is the cost and storage size. With a typical spinning platter hard drive costing less than 10 cents for GB and the typical SSD running closer to 1 dollar per GB, one can argue that the cost outweighs the benefits. As with anything in technology prices continue to decrease, and soon enough SSD will be the standard is personal computers.

What the Hecks in Your Computer - Part 3: Hard drives - A good news - bad news - good news story

The design of hard drives , although basically the same concept implemented 31 years ago in the original xt ibm microcomputer (and barrel sized 5 megabyte drives in ibm mainframes before that), have undergone drastic changes to increase speed and capacity over time. The first microcomputer drives having 40 megabyte capacities where now 2 terabytes and larger are becoming common and inexpensive. The idea of a fast spinning magnetic disk with a floating head reading and writing was a quantum leap forward from floppy disk and tape used previous – both in speed and capacity. Without the hard disk the multimedia and graphical interface properties we enjoy today would simply not be possible. Likely the computer revolution would not have happened and so many things would be different. The fact we are still using the same technology 20 years later speaks to what an incredible design the hard drive is.

So what is the bad news? Hard drives can fail. All drives are sold with a “mean time between failure” rating in hours (ie 100,000)from the manufacturers. So they certainly acknowledge the possibility. The reality is a drive may fail early in its life (called infancy failure), later in life or never untill eventually it’s recycled. When you realize the construction of the drive includes a head floating less than a hair width above a platter spinning at 7200rpm on a spindle that sits on a tiny bearing – you can see how this could fail. Preparation for failure is key because if the drive fails it can mean catastrophic data loss. There are data recovery methods that can recover data from a failing or totally failed drive and they vary in cost from a few hundred to thousands of dollars, depending on what work is required and how the drive has failed. By preparation for failure we mean a good backup plan. This used to be only for servers but now even home users with priceless photos, purchased music and school projects should be prepared by doing regular backups. The types of backup include usb hard drives, usb keys, on line backup services and many others. Even Windows 7 includes a very good backup program.

Back to the good news... SSD or solid state drives are slowly taking over the hard drive market and because they have no moving parts they are far less prone to failure. They currently have a high cost per megabyte compared to conventional drives- and there are some compatibility issues- but they are the logical heir apparent to the hard drive empire. Solid state memory being used in mp3 players, ipods, tablets and phones are helping price go down and capacity come up to the point where solid state drives can only succeed eventually. Backup will always be needed because of issues of theft and disaster, but the primary need will soon not be guarding against hard drive failure, Good news indeed for most users.

How to Clean Your Laptop

Cleaning a laptop computer is a simple process that can help to improve the overall performance of your notebook. It's an important maintenance task to do regularly - yearly or more frequently as needed, to get rid of dirt and dust that can damage your display or other parts, affecting your laptop's performance.

Materials

You'll need the following things to clean your laptop:

•Isopropyl alcohol. Because it evaporates quickly and doesn't leave a residue, isopropyl alcohol is safe to use on electronic equipment and LCD displays. Do not use: ammonia, tap water, mineral water, and household window cleaners.

•Distilled or purified water or bottled water. Do not use: Tap water (can leave permanent mineral spots)

•Can of compressed air, commonly available at office supply stores.

•Lint-free cloth, like the kind used for cleaning eyeglasses. In a pinch you can use a soft, 100% cotton cloth. Do not use: paper towels, facial tissues, or scratchy or abrasive cloths.

Prepare to Clean

•Make sure the computer is off and unplugged, and remove the battery.

•Make a 1:1 cleaning solution using the water and alcohol.

•Dampen the cloth with the cleaning solution--it should be slightly moistened rather than very wet. Also, never spray anything directly on the computer; the liquid should go on the cloth first.

Laptop Parts to Clean - The general parts of the laptop you should keep clean are: the case, the LCD screen, the laptop keyboard (and touchpad), the ports, and the cooling vents.

1.      Clean the Laptop Case- Use the damp cloth to wipe down the exterior of the laptop. This will help you make it look brand-new again. Then open the lid and wipe the areas around your keyboard.

2.      Clean the LCD Screen - Clean the display using the same cloth or a new moistened one if the original is too grimy (again, don't spray any solution directly on the screen). Use gentle circular motions or wipe the screen from left to right, top to bottom.

3.      Clean the Keyboard and Touchpad - Use a can of compressed air to loosen and remove dirt, crumbs, and everything else that may be stuck in the keys. Alternately, you can use an old toothbrush to loosen debris.

4.      Clean the Ports and Cooling Vents - Use the can of compressed air to clean the case openings: the ports and cooling vents. Spray from an angle so the debris is blown away from the computer, rather than into it. Finally, use the damp cloth to wipe the keys and the touchpad.

Also, be careful when spraying the fans, because if you spray too hard liquid may get in the fan blades. To prevent the fans from overspinning while you're blowing the air on them (which can damage the fans), place a cotton swab or toothpick between the fan blades to hold them in place.

Last But Not Least - Make sure your laptop is completely dry before turning it on.

Use the SLA as a communications tool. The value of an agreement may not be just in the final product. The very process of establishing an SLA helps to open up communications and identify areas that need improvement and clarification.

Use the SLA as a conflict-prevention tool. A good agreement helps to avoid or alleviate disputes by providing a shared understanding of needs and priorities. And if conflicts do occur, they tend to be resolved more quickly.

Use the SLA as a basis for gauging service effectiveness. An SLA ensures that both parties use the same criteria to evaluate service quality. Use it as an active agreement that has reviews on a predetermined basis to assess service adequacy and negotiate adjustments as necessary.

PC & Laptop Purchases - Retail vs Business

An important consideration when buying a laptop or desktop computer for work purposes is whether you should purchase a consumer model or a model specifically designed for business. Many computer manufacturers offer what appear to be the same make and model in both their home and business divisions, but they are actually not. Business computers are built to last, with higher quality components that are tested more rigorously. Parts used for consumer computers may be more generic or even cheap, while computers designed for professional use more often include higher grade materials and name-brand parts. This emphasis on durability means that the business class laptop or desktop you buy now should last you many trouble free years.

These computers offer more features for professional work, such as fingerprint readers, remote desktop control software, data encryption tools plus high quality mice and keyboards. The professional operating system version that comes on business PCs is also more suited for workers than the home version; Windows 7 Professional, for example, has features -- which Windows 7 Starter and Home editions do not have -- for easily joining a corporate network and using Windows XP software. They are also bundled with business tool software such as backup programs, software migration and management tools.

Components in business class computers have longer lifecycles and models are typically available for 12 to 16 months. This means you can purchase the same model for additional staff as your company grows without having to change images or options.

Most business class laptops will feature aluminum or magnesium components that are more durable than the simple plastic components used on most consumer notebooks. This metallic case, internal metal structure, sturdier hinges and beefed-up display frame protect the system's innards from damage and help the business laptops handle the stresses of life on the road, stand up to scratches and survive minor drops and bumps. The battery life on business class laptops is generally longer than that on consumer device due to power management programs and better components. These business laptops also offer many more options such as docking stations, extra batteries and extended warranties not found on consumer lines.

Finally, business computer systems come with better support options and may be more easily supported by your employer's IT department as well. The default warranty on business computers is usually longer than those on consumer models and many offer onsite warranties or upgrades to 4 or 5 years. Business users also tend to get priority support, via a dedicated support line, and you can opt for on-site tech support available within hours rather than having to send in your computer for repair, which could take weeks.

How to Create a Group List in Outlook

Need to get a message out to a group of people? Do you often need to email the same group of people? This list (group) of people is called a “distribution lists” in Outlook. These lists make it easy to email a group of people.

To setup a mailing list in Outlook, follow these instructions:

Select File, then New and Distribution List from the menu. In Outlook 2010, select the New Items button, then More Items, then Contact Group.

This will open the Contact Group window. Give your group/list a name and click on Add Members and select the people that you want to add from your Outlook Contacts, Address book or create new ones.

After you have the contacts that you want in the group, click Save & Close.

Now when you create a message, you should be able to type in the name of the contact group that you created.

Malware, Viruses, Worms, Adware, Spyware, Trojans...

In IT, we hear many different terms. One of the most confusing scenarios is when a computer becomes infected with malware since the infection can be referred to as viruses, malware, adware, spyware, rootkits, etc. Some of these terms have the same meaning, some are sub-categories, and some are even just simply network tools. Some of the different forms of malware can be trojans, worms, hacktools, password revealers, etc. depending on the purpose of the program. To clarify things a bit, here is a list of common “infection” terms and their definitions:

Malware: Short for malicious software, (sometimes referred to as pestware) designed to harm or secretly access a computer system without the owner's consent. The expression is a general term used to define a variety of forms of hostile, intrusive, or annoying software or program code. Malware includes computer viruses, worms, trojan horses, spyware, dishonest adware, scareware, crimeware, most rootkits, and other malicious and unwanted software or program. Essentially, it is the broadest term to cover all forms of infections.

Virus: A computer program that can copy itself and infect another computer. The term "virus" is also commonly but erroneously used to refer to other types of malware, including but not limited to adware and spyware programs that do not have the reproductive ability. A true virus can spread from one computer to another (in some form of executable code) when its host is taken to the target computer; for instance because a user sent it over a network or the Internet, carried it on an external drive, or unintentionally spread it through email. Viruses can increase their chances of spreading to other computers by infecting files on a network file system or a file system that is accessed by another computer.

Worm: A self-replicating malware computer program, which uses a computer network to send copies of itself to other nodes (computers on the network), and it may do so without any user intervention. This is due to security shortcomings on the target computer. Unlike a computer virus, it does not need to attach itself to an existing program. Worms almost always cause at least some harm to the network, even if only by consuming bandwidth, whereas viruses almost always corrupt or modify files on a targeted computer.

Spyware: A type of malware that can be installed on computers which collects small pieces of information about users without their knowledge. Spyware is typically hidden from the user and can be used to observe and collect various types of personal information, such as Internet surfing habits and sites that have been visited, but can also interfere with user control of the computer in other ways, such as installing additional software and redirecting Web browser activity. Spyware is known to change computer settings, resulting in slow connection speeds, different home pages, and/or loss of Internet connection or functionality of other programs.

Adware: Advertising-supported software, is any software package which automatically plays, displays, or downloads advertisements to a computer. These advertisements can be in the form of a pop-up. The object of the Adware is to generate revenue for its author. Adware, by itself, is harmless; however, some adware may come with integrated spyware such as key loggers and other privacy-invasive software.

Rootkit: Software that enables continued privileged access to a computer while actively hiding its presence from administrators by subverting standard operating system functionality or other applications. The term rootkit is a concatenation of "root" (the traditional name of the privileged account on Unix operating systems) and the word "kit" (which refers to the software components that implement the tool). The term "rootkit" has negative connotations through its association with malware. Rootkits are considered to be one of the most difficult forms of malware to detect and clean as one of their main functions is to remain undetected, sometimes by residing in the kernel; reinstallation of the operating system is sometimes the only alternative.

Trojan: Software that appears to perform a desirable function for the user prior to run or install, but (perhaps in addition to the expected function) steals information or harms the system. The term is derived from the Trojan Horse story in Greek mythology.

HackTool: Can be malware used by hackers for various purposes. It can include port scanners , and sniffers , keystroke loggers and tools for sending spam. Many types of legitimate network utilities that administrators use are falsely identified as hacktools as they can be used by the administrator to obtain important information about a network they are responsible for. For example, a password revealer can be used to record a user’s password for their email prior to reformatting their system. This can be quite handy since the user may not be available to ask or may have forgotten it since it is cached. Other tools can be used to scan networks to obtain information about the computers on the network such as IP addresses, hostnames, and various other details that are necessary to properly manage a network.

It is always recommended to have an antivirus/antimalware program running on your PC and to ensure that it is up to date. And while everyone does the best they can, some malware can still manage to find its way in. Especially when an unsuspecting pop-up comes up stating that your computer is infected (which is the malware itself) and it is allowed to infect the system simply because it was clicked on; this of course applies to email attachments and links as well.

Microsoft SharePoint

Microsoft SharePoint Server makes it easier for people to work together as a team. SharePoint is a web site used to share information, manage documents from the first draft to the completion, and publish reports that can help everyone be more efficient in their day to day jobs.

There are many reasons a company should look at using SharePoint. It allows end users to share ideas and expertise providing a tool to make better business decisions. The team within your business will work better, faster and smarter. The website integrates directly with the Office 2010 suite of applications to provide a familiar easy to use system. Microsoft Exchange server and Microsoft Unified Communications can add to the benefits of the shared system.

The web site can be customized for any business requirements using the SharePoint Ribbon. Templates can be applied to the site to provide a jump start on the design process. Multiple web applications can be run out of the SharePoint site. Third-party customizations called web parts or widgets/gadgets can be setup on the user interface. If your company uses Microsoft OneNote the data can be stored with in the SharePoint database and made available anywhere there is an internet connection.

If you have a multitude of images or paper documents that you want to store digitally, simply scan them into a digital format and save them to the site. The documents can be modified and different versions can be tracked. In addition to being a platform for digital record management, SharePoint also provides the benefits of a central location for storing and working on the documents, reducing emails and duplicated work in an organization.

This shared working environment can be made available internally (Local network), and Externally (Over the Internet). The access can be secured via username and passwords and SSL encryption. User accounts would be assigned access to only the part of the shared resources they require. Contacts, Calendars, Blogs, Discussion Boards and Document Libraries are just a few of the sharable resources that can be configured. Document Libraries, Contact lists and Calendars can be synced directly with Microsoft Outlook and made available within the application.

All of the resources on the site can be searched allowing quick and easy access to whatever you are looking for. Windows 7 advanced search can integrate with the data stored with in SharePoint.

Microsoft Small Business Server operating system has a preconfigured SharePoint site that is also known as the Company Web. This platform can be used right after the initial deployment of the server allowing basic SharePoint functionality. Hosted versions of SharePoint Server are also available for a monthly fee. This allows a small business to take advantage of having their own SharePoint server without having to purchase any hardware or software.

The options available with Microsoft SharePoint are almost endless. It is a fully customizable/programmable interface allowing a multitude of possibilities to complement your business.

What the Heck's in Your Computer - Part 2: CPU

The CPU or central processing unit (shorthand is processor or microprocessor) is both the brains and muscle of your computer. It does all the heavy lifting when it comes to executing instructions from your programs. In other words allowing them to run and do what you need them to. It is also generally the most expensive part in any computer. CPUs have come from a number of manufacturers over the years including IBM, AMD, and the best known and market leader Intel. In past years there was far more competition between companies making processors but Intel has emerged as the mainstream giant with only AMD as competition . CPUs are at the heart of many consumer devices such as smart phones, tablets and even cable set top boxes.

In the past buying a computer was as simple as numbers – more was better. So a 2.5 gigahertz (internal clock speed) processor was always faster than 1.5 gigahertz—easy. For computer CPUs there was a fundamental shift in design about 5 years ago. The manufacturers realized they could not continue to increase clock speeds because that was increasing power requirements and heat past the point that was manageable in most designs. The solution was to add cores – in other words put multiple processors on one physical chip. This turned out to be the answer to moving processing speeds forward – multiprocessing was the future. Operating systems and software would need to be released to support this so first windows Vista and now windows 7 uses this capacity. Consumers first saw this in the 32bit Intel core duo then the 64bit core 2 duo. Now we have the i3 entry level, i5 mainstream, and i7 processor which is really a family of processors using anywhere from 2 to 6 cores – each has varied amounts of cache ram – some with on board video processing and some without.

So I guess the point is buying a computer based on numbers alone is no longer the best method. To know exactly what a processor can do I’d advise checking a comparison guide like those found on the Intel web site or Wikipedia. If you prefer someone else do the legwork a sales professional will ask your current and projected uses for the system and then recommend a processor based on that. Someone doing basic internet and documents doesn’t need the latest, fastest and most expensive processor while someone editing HD video or multi-monitor 3d gaming or design very well might.

What the Heck's in Your Computer - Part 1: The Motherboard

The motherboard, also known as the main logic board, has been at the heart of every micro computer since its invention. Its function is similar to the foundation of a building in that it houses the wiring and plumbing required and provides a platform for the subsystems that make up the whole structure.

Managing the traffic between subsystems (ie hard drive, processor and ram) across links called busses is the key function of any motherboard. Over the years many of the components that used to be added on to a motherboard in the form of cards have become integrated. Examples would be video and networking. The notebook/netbook and now tablet revolution have made the motherboard much smaller. More expensive motherboards tend to have faster busses and support the latest processors, sometimes more than one processor in the case of server motherboards.

As a user you can be happy not knowing what your motherboard is up to as it should just work. There is only one place to change the motherboard settings and that is the "system bios", also called cmos. However, modifications to these settings are best left to the professionals as many of these settings can do more harm than good.

Motherboards have become a very reliable component in any system because they have no moving parts and are shielded from static - any electronic components biggest enemy. As far as evidence as to how reliable they are - when troubleshooting a system for hardware faults we eliminate every other system before suspecting the motherboard as a problem component. If you are shopping for a new system you are best to stay with name brand motherboards. Peer to Peer Networking

This is a heavy title for a small article. Anybody in IT, at some point gets called upon to do a small peer to peer network for someone, often family or friends and often with great trepidation. It’s not that peer to peer networks are unreliable. A properly setup peer network is as reliable as any other. The problem is people.

As soon as the second PC rolled off the assembly line, someone wanted to connect it to the first one. This is the core of networking. Early on it was Lantastic, Banyan Vines, Windows for Workgroups and a dozen others. Microsoft dominated the market, and now most peer networking is a component of the Operating system. Peer networking (or P2P) has continued to evolve into a separate existance, with music sharing programs like Itunes, Limewire and such.

So the call comes. Uncle Bob and Aunt May want to network. Originally they had one computer and shared it, until Uncle Bob figured out how to download a Halle Berry Wallpaper. This was the end of ‘sharing the computer.’ Aunt May wanted a computer of her own. In came a new computer for Aunt May (uncle Bob had to keep the old, ‘filthy’ computer) and a router. Each has their own email address, and life was sweet again…Until the pictures start arriving. Turns out that Uncle Bob and Aunt May actually have lives, and interact with different people. Sometimes one gets pictures that the other one wants. They started emailing each other back and forth, but they knew from their very clever nephew who (talks too much) that there was a better way.

Now networking two Windows XP workstations is about the simplest network you can implement. You’d think by now we, as professionals, could agree on a standard. Apparently this is not an option at this point. So, I, Mark Smed, being God of all that I survey, have decided with all my powers to impose upon all of society the ‘correct’ way to network two computers, which are running Windows XP, service Pack 2. Complaints can be sent to the editor.

The basics are pretty simple. Give each machine a unique name, and put them in the same workgroup. TaDaa! Now whose computer do we setup a shared folder on?

Aunt May’s computer is

1. Newer and less likely to fail

2. Has greater capacity since it has a larger hard drive

3. Aunt May is more likely to complete a regular backup since Uncle Bob marches to the beat of a different drummer.

So we setup the shared folder, and tried to access it from Uncle Bob’s computer. It doesn’t work…Wait; Windows XP has a firewall, which prevents these types of intrusions.

This is where we diverge as a profession. Some of us would disable Windows XP’s firewall, since the Router/Firewall will prevent access to the workstations. Another group would create port exceptions in the firewall, which allow the computers to communicate. The really smart group would enable the Peer-to-Peer service in Add/remove Programs, Network services. LOL…ok, that’s a judgement on my part, but as a professional, I need to make decisions about these things. It’s not as simple decision to make. I have a Code of Ethics that I support and underlie all decisions I make.

The first choice is to disable Windows XP’s firewall. Goodness knows, I’ve gone to this as a solution a number of times as time adds up on a service call, and it appears to be a quick solution to a small problem with some odd piece of software. In fact, when Windows first started offering a firewall, I’m sure a lot of us disabled it because of time constraints and ignorance of its potential. I also remember the first time I encountered a network aware virus, which spread to machine with the firewall disabled. Disabling the firewall is not an option anymore, when networking computers, unless it is the only solution available to a unique problem. I have spoken, let all hear and obey.

The second choice sounds good. You still have a firewall enabled, so that will help with things like network aware viruses and the likes. The problem is that peer-to-peer networking is more than open ports. There are a whole series of activities within Windows that are not going to happen if you only enable certain ports. It’s much more complex; See the following;

The last solution is the best solution to offer. It provides the most stable platform for the customer (Uncle Bob and Aunt May). A proper setup, with some training, will ensure that the customers are happy and bring you lots of chocolate chip cookies (or other lesser forms of compensation).

“Uncle Bob, music sharing is not really legal. There has been a lot of press related to this and some people have faced some serious charges regarding this. It also exposes you to some potential hazards from the files your downloading”

“Damnations Son! Look over here, I have 1427 LP’s that I purchased in my life. I ain’t stealing music, I’m just downloading what I already own. I promise you that…besides, Aunt May is started her Christmas baking and I have some good currency in the freezer”

Even IT God’s have their challenges.

Office Ergonomics - Keyboard Setup & Usage

The last area in your work station setup (see our articles on mouse and monitor ergonomics) that can cause injury from improper usage is the keyboard. Sore wrists and carpal are common ailments with incorrect usage. If the wrists are not in a flat and neutral position, the tendons can rub as they move and create extra pressure in the nerves. There are a number of things that you can do to help prevent these problems from developing:

•Ensure your keyboard (and mouse) are placed directly in front of you

•Ensure your elbows are close to your body and your shoulders are in a relaxed position

•Check your seat height - Your wrists should be straight and your hands should be in line with your forearms.

Ergonomic keyboards can also be purchased that have been specially designed and contoured to relieve repetitive stress injuries. They usually have a contoured design that is more comfortable than a standard flat keyboard. There is a wide variety available, but there are two main types that are sold and used most often. The traditional look that most people are familiar with is the Microsoft Natural Elite. This was one of the first of its kind with a waved or curved key layout. The other main type has a split-key model. The keyboard actually separates at one or more points and the keys separate with each part. These are considered advanced and most beginners should try a standard type before attempting to use one of these. The most popular is the Goldtouch Keyboard. Keep in mind thought that getting comfortable with any ergonomic keyboard will take time though.

A good practice is to take a break at regular intervals and shake your hands, rotate them clockwise and anti-clockwise a few times to help relieve tension in the fingers, wrists and forearms.

How to Compress A File

Some files are too big to be sent over the internet and it is often necessary to "compress" them to make them smaller so that they can be sent more quickly. The files are not damaged or changed, just stored in a different way. A good analogy is to think of it like taking a large letter, folding it up and putting it inside a small envelope. You send the envelope which now takes up less space, but at the other end the envelope can be opened and the large letter folded out again. The contents can now be "extracted" back to their original size and used as normal.

To compress a file with Windows XP, Vista or 7 follow these instructions:

1.Create a new folder and cut or copy all of the files the you would like to compress into the folder

2.Right click on the folder and select Send To from the menu which appears

3.Select Compressed (zipped) Folder from the list of options

4.Attach the compressed folder(with the .zip extension) to your email

To uncompress the files:

1.Right click on the compressed

2.Select Extract All from the menu which appears

3.This will open the Windows Extraction wizard

4.Click Next to extract the files

Recovering Lost Icons

The use of desktop icons has served to simplify opening and using programs. With the simple click of a mouse, a program can be opened. Unfortunately, they can also be deleted, but there is a simple process to recover desktop icons. Just follow these steps:

First place your mouse anywhere in a blank area on your desktop and right click your mouse.

1. Depending on the version of windows that you have, the following instructions will change.

•Windows XP: A pop up menu will appear. Choose the "Properties" tab by left clicking and you will receive a dialogue box. Left click on the tab named "Desktop". Now select "Customize Desktop" which will prompt another dialogue box to open. From there click on the "General" tab. Now choose the icons you want restored or placed on the desktop.

•Windows Vista and Windows 7: Select the "Personalize" option from the menu and then "Change Desktop Items". You can now choose the icons you want back on the desktop by checking the box next to the icon name.

2. Lastly, click on the "Apply" of "OK" button and the icons should be on your desktop.

How to Take a Screenshot with Windows Vista or 7

Screen shots or screen captures can be helpful when information on your display/monitor needs to be shown to others ‐ maybe to show a problem or demonstrate how a program is used.

I recently discovered a tool called the "Snipping Tool" that is available in Windows Vista or Windows 7. This tool allows you to select only the portion of the screen.

To access this tool go to your Start menu, select All Programs, the Accessories folder and lastly click on the Snipping Tool. A window will appear with instructions to select the area that you would like to crop. Select the area clicking and holding down your left mouse and dragging around the area.

A new window will appear with your selection that you can send to an email or save to a location of your choosing that you can later open and view as you would any other picture.

Now the next time that you are trying to explain something, you can take a screen shot to help with your explanation.

The cloud – it’s all the hype right now, but what does it mean? Simply stated, it is a general term for anything that involves delivering hosted services over the Internet. The name was inspired by the cloud symbol that’s often used to represent the Internet in flowcharts and diagrams. Chances are, you are already using an application in the cloud or storing files there. Are you using gmail or facebook? Have you ever uploaded anything to the internet? Do you have a website?

Years ago, when you had a website, you would have it sitting on a server in your office. But as more people stopped by to visit your website, you needed new, bigger and better servers to handle all of this traffic. This became costly and took more time and resources to maintain it all. New businesses were formed that bought lots of servers and did all of the work to service them and sold you space to put your website on their servers. In other terminology, they “host” your website. Where is the content from your website physically sitting? It could be in a datacenter anywhere. It is in the cloud.

Examples of application software include gmail, google docs or facebook. You can access any of these applications from anywhere and access the files (pictures, documents, etc) that you’ve uploaded from anywhere as well. You don’t actually own the application or the hardware that it resides on.

How will businesses use cloud computing? Why will businesses move to cloud computing?

Businesses today are facing many challenges – rising costs, declining sales, tough competition. They need to find ways to increase the efficiency of their business operations and do more on their existing infrastructure.

• Reduced Costs and Resources– Only pay for the resources you use, as you use them with a monthly subscription fee. You don’t own the application software or the hardware or the costs associated with ownership. By placing storage and server needs in the hands of a 3rd party, you shift the burden of in house IT onto the out sourcer.

How to Protect Your PC

So you’re cruising around on the internet, minding your own business. A few clicks here, a few clicks there and before you know it, you’re computer is acting odd. You thought you were pretty safe, or thought that the box that had popped up was just another annoying pop up. Uh oh! Now you’re infected, but you might not even know it! Or maybe you have all sorts of pop ups showing up left, right and center. Or maybe there’s a new program showing up that you don’t recall installing lately. YIKES!

There are a lot of threats out there and more are developed every day. I could go into the details of network security, but then I might as well dedicate an entire website or book to that, because there is a lot of information to cover. If you do a little bit of searching, you will surely find someone out there that has been nice enough to have already gone through the trouble of gathering all the information in one convenient spot.

For those of you who are curious as to what some of these threats can do, here’s a basic overview from of just some of the threats out there, from less critical to most critical:

1. You click a link or open an email attachment and you get:

Popups galore!

Programs that mask themselves as legitimate programs, but actually are not. Sometimes they will say “hey! Your computer is at risk! You need me, but first you need to buy me. Give me your credit card number.”
You try to go to a legitimate website, but get directed to some other website(s)

2. You download something off a website that you think was legitimate, but the download has been compromised and when you go to run it, in the background it installs a backdoor program to either:

Sit in the background and collect every keystroke you make (including when you log into your bank account online!)
Corrupt your files on your hard drive
Wipe or physically wreck your hard drive
Get remote access to your computer and do what they want
Make your computer send out massive amounts of email
Make your computer become part of a botnet (network of computers that carry out tasks that the hacker can instruct them to do)

You’re probably thinking, “Who has the time to be doing this? Who is doing this?” or “Why would they do this? What benefits would they see from it?” These people are usually referred to as hackers, but that’s such a loosely coined term and not correctly used. Depending on the intent of the attack, hackers will either do it for one of two major reasons, but not limited to: the shear challenge of the hack or to collect information about you and your financials.

At this point, you probably just want to disconnect your computer and never to look at it again, because let’s face it, it’s just easier to not deal with it, right? Don’t let all this scare you, because there are things you can do to be better protected while you surf the internet. The best thing is to just be well aware of the risks and what to watch out for. By searching the web, you can find a wealth of information to help educate yourself about these threats. This can help you be more aware before just clicking that link, or opening that weird email attachment. Nowadays, security is such an important part of everyone’s world. Many websites (banking institutions, webmail providers, etc) implement highly secured connections for when you go to enter your financial or sensitive information. They put in place security functions (like entering security questions, picture codes, etc) to ensure your information is not compromised. So feel a bit more at ease, but don’t rely solely on this to protect you. The more protection you can setup for yourself, the better.

Tips and Tricks - How to Use the AutoComplete Function in Internet Explorer

The autocomplete function in Internet Explorer automatically remembers information that you've recently typed. It is a handy tool when you are frequently filling in fields in web forms, such as name and address or usernames and passwords. You can save time because you don't have to type in the full information, the AutoComplete function will fill in the information for you. To turn on this feature follow these steps:

1. Open Internet Explorer.

2. Click on the Tools button, and then click Internet Options.

3. Click the Content tab.

4. Under AutoComplete, click Settings.

5. Select the boxes for the Web addresses, Forms, User names and passwords on forms, and Prompt me to save passwords.

6. Click Ok, and then OK again.

Tips and Tricks - Send a Fax Over the Internet

Need to send a fax but don’t have a fax machine available or the fax needs to be sent in color? The next time your fax machine is broken down or your traveling on business and a fax machine is not available send your fax over the internet. This is also a good option if you don’t have a phone line or need to send a fax in color. The later was situation that has happened in our office. We needed to send a fax in color, but our multi-function printer (MFP) is black & white.

A great resource was found! www.faxzero.com will let you send a fax to any fax machine in the United States or Canada for free. The restrictions? Only 2 free faxes per day, each fax can be a maximum of 3 pages, the fax must be a word document (.doc) or a .pdf file and there is an ad on the cover page. There is an option to upgrade if you need to send more documents, more pages or do not want the ad on the cover page.

Sending the fax is very easy to use, just fill in the sender and receiver information, attach the file and enter the confirmation code. An email confirmation will then be sent to your inbox. After locating the email, click on the URL in that email message. After clicking on the link, you will be directed to a webpage where you can find out the status of the fax and you will also be sent an email confirming the final status.

How it Works

Software:

The software is either installed on your desktop (Premise based) or it is available online (SaaS – Software as a Service)

Hardware:

Display – A variety of display technologies are compatible, including LCS Televisions, Plasma Televisions, LCD Monitors, Multi-Screen Video Walls, Kiosks and more

Media Player – Simply stated this is just another computer where your content will reside once it is pushed out. It has it’s own software to display the content that you’ve created. The player can be a desktop tower or a small form-factor computer (mini PC).

Mount – A variety of mounts are available, including stands, wall mounts, ceiling mounts

Wiring, Including Connectivity – Ensuring the content is delivered to the right place at the right time will require power cabling, internet cabling and audio video wiring
